1. Who we are
Chiltern Safari is operated by Chiltern Safaris Ltd, registered in England and Wales (company no. 16494072). You can contact us at ChilternSafari@gmail.com. These terms apply to all bookings for our tours and experiences made through this website (including the Ticket Tailor checkout on our pages) or directly with us. Bookings made through third-party platforms such as GetYourGuide or Viator are additionally subject to that platform’s own booking and cancellation terms, which govern payment and refunds for those bookings (see section 12).
2. Your booking and our contract
A booking is confirmed, and a contract formed, when you receive our booking confirmation email after payment. Please check the confirmation and tell us promptly about any errors.
Because our tours take place on a specific date, the 14-day cancellation (“cooling-off”) right that applies to many online purchases does not apply to tour bookings, under regulation 28(1)(h) of the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. Instead, the cancellation policy in section 4 applies. (Gift cards are different — see section 11.)
3. Prices and what’s included
Prices are per person in pounds sterling and include everything listed on the tour page — typically your guide, transport between venues from the advertised pickup point, tastings, and lunch with paired wines where stated. Not included unless stated: travel to and from the pickup point, additional drinks or purchases at venues, and gratuities. Prices for future dates may change, but the price of a confirmed booking will not.
4. If you cancel or can’t come
To cancel, email us at ChilternSafari@gmail.com. The following applies from the date we receive your cancellation, and reflects the commitments we make to vineyards, caterers and transport partners on your behalf:
Cancellation 29 days or more before the tour date: full refund. Between 15 and 28 days: 50% refund, or a free transfer to another available date within 12 months. 14 days or fewer, or failure to attend: no refund, because our costs are committed — though we will always offer your place to a waiting list and refund you in full if we resell it.
You may transfer your booking to another person at no charge at any time up to 48 hours before the tour — just tell us the replacement guest’s name, contact details and meal choices.
We strongly recommend that circumstances that might prevent you attending (illness, travel disruption) are covered by your own insurance, as they do not entitle you to a refund outside the schedule above.
5. If we change or cancel
Minimum numbers. Each scheduled tour requires a minimum of 12 guests to operate. If a tour has not reached its minimum by 42 days before the tour date, we may cancel or reschedule it. We will tell you no later than 35 days before the tour date, and you may choose any of: (a) a transfer to another available date, (b) a credit valid for 12 months, or (c) a full refund.
Other changes by us. Occasionally we must cancel or significantly change a tour for reasons beyond minimum numbers — for example severe weather that makes the tour unsafe, or a venue becoming unavailable. If so, we will tell you as soon as possible and you will have the same choice of transfer, credit or full refund. Our tours run in most weather (they are outdoor experiences — please dress accordingly); we only cancel for weather when safety requires it.
Minor itinerary changes. Because we work with small boutique vineyards and producers, a venue may occasionally need to be substituted. Where this happens we will provide an alternative of equivalent standard and tell you promptly. A substitution of one venue of similar quality is a minor change and does not give rise to a refund; if a change significantly alters the character of the tour, we will treat it under “Other changes by us” above.
Refund mechanics. Refunds under this section are made to the original payment method within 14 days.
6. Alcohol and age
Our wine, food and drink tours involve alcohol and are for adults aged 18 and over. We and our venue partners operate Challenge 25: please bring photo ID if you’re lucky enough to need it. We and our partners may lawfully refuse to serve alcohol to anyone who appears intoxicated. Please drink responsibly — tastings run across a full day, water and food are always available, and no one should drive after the tour; that’s what our transport is for.
7. Health, mobility and dietary requirements
Tours involve walking on uneven ground — vineyard rows, farm tracks and countryside paths — so please wear sturdy footwear and tell us when booking about any mobility issues or health conditions that could affect your day, so we can advise honestly whether the tour will work for you (some venues have limited accessibility).
Lunch is chosen from our menu of 16 options including vegan, vegetarian and allergen-aware choices. You must tell us about dietary requirements and allergies no later than 10 days before the tour. Our partners prepare food in kitchens that handle allergens; while they take allergies seriously, we cannot guarantee a completely allergen-free environment, and we cannot cater for requirements notified after the deadline.
8. Joining the tour: pickups, timing, no-shows
We will email your joining instructions, including the exact pickup location, no later than 7 days before the tour. Please add our email address to your safe senders and give us a mobile number at booking — we text or call if anything changes on the day. If you haven’t received joining instructions 5 days before the tour, contact us.
Please arrive at the pickup point 10 minutes early. The vehicle can wait no more than 10 minutes past departure time out of fairness to venues and other guests; if you miss the departure or any stage of the tour, we’re unable to refund, though call us immediately and we’ll help you rejoin the tour if practical.
9. Behaviour
We want everyone to have a brilliant day. We may refuse to carry, or remove from the tour without refund, any guest whose behaviour is (in our reasonable judgement) dangerous, abusive, or seriously disruptive to other guests, staff or venue hosts — including through excessive intoxication. Guests are responsible for any damage they cause to vehicles or venues.
10. Our responsibility to you
We will provide your tour with reasonable care and skill, as the Consumer Rights Act 2015 requires. Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be excluded.
Otherwise, we are not liable for losses that were not a foreseeable result of our breaking this contract, for business losses, or for events outside our reasonable control (see section 16). Our total liability to you in connection with a booking is limited to twice the price you paid for it. Please look after your personal belongings — items left in vehicles or at venues are at your own risk, though we’ll always do our best to reunite you with them.
Our tours include services delivered by carefully chosen independent partners — vineyards, producers, caterers and transport operators. These partners provide their services under our arrangements and we remain your point of contact for the tour as described.
11. Gift cards
Gift cards are valid for 12 months from the date of purchase; the expiry date is shown on the card. They can be redeemed against any of our tours, are transferable but not exchangeable for cash, and any unused balance remains available until expiry. If a tour booked with a gift card is cancelled by us, we will re-credit the card (or refund any cash top-up).
Because a gift card is not a dated service, online gift card purchases do carry the statutory 14-day cancellation right: you may cancel within 14 days of purchase for a full refund, provided the card has not been redeemed.
12. Bookings through other platforms
If you booked through a third-party platform (for example GetYourGuide or Viator), your payment, cancellation and refund are governed by that platform’s terms and handled through that platform, and their cancellation deadlines may differ from section 4. Everything else in these terms — conduct, age, health and dietary requirements, pickups, changes by us — applies to all guests however they booked.
13. Photography
We sometimes take photos and short videos on tours for our website and social media. Tell your host at the start of the day (or us in advance) if you’d prefer not to appear, and we will happily keep you out of shot. We will never use a close-up image of you in paid advertising without asking first.
14. Your information
We use your booking details to run your tour — including sharing your name, meal choice and dietary needs with the caterer and venues, and your name and pickup point with the transport operator. Full details of what we collect and your rights are in our Privacy Policy.
15. If something goes wrong
Tell your host on the day where possible — most things can be fixed on the spot. Otherwise email us within 28 days of the tour and we’ll respond within 14 days. These terms are governed by the law of England and Wales and any dispute can be dealt with by the courts of England and Wales (or, if you live elsewhere in the UK, the courts of your home country). Nothing in these terms affects your statutory rights — for free advice about them, contact Citizens Advice.
16. General
If an event outside our reasonable control (such as extreme weather, road closures, epidemic restrictions, or the failure of a venue) prevents or delays a tour, our obligations are suspended while it continues and section 5 applies to any resulting change or cancellation. If any part of these terms is found unenforceable, the rest still applies. Only you and we have rights under this contract.
